The Bringme Bell manages building access, while the Bringme Desk informs visitors about security measures and notifies the host when their visitor arrives. To ensure a smooth process, you send your visitor an email with a QR code in advance. Refer to this article for more information on how preregistration works.

But what if preregistration doesn't work? This article helps you step by step to check possible causes and resolve the issue.

If your visitor has not received their QR code, check the following:

✅ Are you using the correct email address?

  • Always use invite@bringme.com to preregister your visitor.
  • Alternative addresses (e.g., info@bringme.com) will not work.
  • You can also use a language-specific address (invite.nl@bringme.com, invite.fr@bringme.com or invite.en@bringme.com) to control the language of the preregistration email. See In which language does my visitor receive the preregistration email? for more info.

✅ Did you send the invite correctly?

  • The invitation must be a calendar invite with invite@bringme.com added as a guest, in the To or CC field. Both work, it does not have to be in CC specifically.
  • If the email was sent as a regular email instead of a calendar invite, preregistration will not work.
  • The appointment must be created in the calendar of the mailbox that is known to Bringme. Some calendar apps, such as the Calendar app on iPhone, add new appointments to a default calendar that may not be your work calendar. If that default calendar is a personal one (e.g., Gmail), the invite is sent from that personal address instead, and preregistration will fail even though you meant to send it from your work address. Check under your device's calendar settings which calendar is selected as default, and select your work calendar explicitly when creating the appointment.

✅ Is your email address linked to a Bringme Desk or Bringme Bell?

  • When you send an invitation with invite@bringme.com as a guest, the system checks which Bringme Desk or Bringme Bell your email address is linked to.
  • If your email address is not connected to a Bringme Desk or Bringme Bell, the visitor will not receive a QR code.

    How to check this:
  1. Log in to the Bringme app with the email address used to send the invite.
  2. In the 'Home' section, check if there is a message confirming your connection to the Bringme Desk or Bringme Bell.
  3. Alternatively, ask your Bringme admin to verify your connection in Bringme Manager.
  4. If you are not connected, ask your Bringme admin to add your account in Bringme Manager.

✅ Is the visitor already a Bringme user?

  • If the invited visitor is already connected to the Bringme Desk, they will not receive a QR code.
  • Registered Bringme users already have access with their badge and do not need to sign in at the Desk.
