How does a visitor sign in at the Bringme Desk?

🔎 Introduction

The Bringme Desk is designed to automate and streamline visitor management. Visitors must sign themselves in, ensuring their host is notified via the Bringme App and can come to pick them up. While custom workflows can be configured by the Bringme admin, this guide covers the default procedure for the sign-in.

📃 Answer

The sign-in process may vary depending on the company, as the Bringme admin can customize it to meet specific needs. However, there are three common scenarios:

  1. The visitor is preregistered and has received a QR code in advance.
  2. The visitor is not preregistered but has an appointment and must sign in manually.
  3. The visitor is unexpected and does not have an appointment.

Here’s how each situation is handled:

1. A Preregistered Visitor

This is the recommended method as it provides the highest level of security and ensures that only authorized individuals gain access—especially when used with the Bringme Bell and QR reader. Additionally, it simplifies the process for visitors and eliminates any confusion about how to enter the building. Read more about how to preregister your visitor here.

The visitor:

  • Selects "I am a visitor" on the Bringme Desk screen
  • Scans their QR code at the Bringme Desk.
  • Completes any required safety checks (if configured).
  • Disinfects their hands and receives a visitor label (if configured).
  • Sign-in complete: The host is notified, and the visitor waits to be picked up.

2. A Visitor with an Appointment but Not Preregistered

If a visitor was not preregistered, they can still sign in manually at the Bringme Desk. This ensures that the evacuation list remains accurate and that the host is properly notified of their arrival.

The visitor:

  • Selects "I am a visitor" on the Bringme Desk screen.
  • Enters their name and contact information manually.
  • Selects their host from the list of available contacts.
  • Completes any required safety checks (if configured).
  • Disinfects their hands and receives a visitor label (if configured).
  • Sign-in complete: The host is notified, and the visitor waits to be picked up.

3. An Unexpected Visitor Without an Appointment

If your company allows walk-in visitors who need to reach someone inside, the Bringme Desk can facilitate this process. The Bringme admin must enable a Reception button on the main screen.

The visitor:

  • Selects "Reception" on the Bringme Desk screen.
  • The designated employee linked to this button is notified via the Bringme App.
  • The employee can then go to the Bringme Desk to welcome the visitor.

This way, the Bringme Desk provides convenience and flexibility for all possible scenarios, ensuring a smooth and efficient visitor experience.
